IEEE AESS Distinguished Lecturer Program: Speaker Request

This form is a request for society support, scheduling arrangements are made separately with the speaker. Prior to submitting this request, you must confirm the availability of the Distinguished Lecturer including the dates requested.


Eligibility for Travel Support

IEEE Entities (AESS Chapters and IEEE Sections)

  • AESS Chapters and IEEE Sections are eligible to host an AESS Distinguished Lecturer for regular or special meetings.

  • AESS may provide travel support for the Distinguished Lecturer, typically covering airfare in accordance with IEEE travel policies.

  • Airfare support guidelines are as follows:

    • Up to $1,500 USD for travel within North America or the European Union.

    • Up to $2,500 USD for extensive international travel.

    • Exceptions to these limits may be considered on a case-by-case basis.

  • The local host (IEEE Section or Chapter) is responsible for covering:

    • Hotel accommodations

    • Venue costs

    • Local transportation

    • Meals

  • Arrangements where a Distinguished Lecturer delivers multiple lectures during a single trip are encouraged and may be evaluated on a case-by-case basis.

Non-IEEE Entities (Universities, Research Organizations, and Companies)

  • Non-IEEE organizations may also host an AESS Distinguished Lecturer.

  • To qualify for AESS travel support, the lecture must:

    • Be open to AESS members, and

    • Be advertised to AESS members (for example, through IEEE vTools).

  • If these conditions are not met, the inviting organization must cover 100% of the speaker’s expenses, as agreed upon between the speaker and the host organization.

Request Submission Requirement

  • All Distinguished Lecturer visits must be submitted through the Speaker Request Form so that the AESS Vice President for Education can track and approve Distinguished Lecturer activities.


Note, it is required to submit a post-event report if you are requesting a DL at your event.
