Primary Responsibilities

  • Information Resource: Serve as the primary point of contact for Chapter Chairs and Student Branch Chapter Chairs. Provide guidance, resources, and best practices to support chapter activities and operations. Maintain regular communication to address questions, share updates, and promote engagement.
  • Coordination of Chapter Meetings: Plan, coordinate and participate in 1-2 regional chapter meetings annually, which may be held in person or virtually. Facilitate online chapter meetings to encourage knowledge sharing and collaboration among chapter leaders.
  • Activity Reporting: Actively encourage chapters to report meetings and events through IEEE’s vTools platform. Provide training and support to ensure accurate and timely reporting. Highlight the importance of vTools reporting in showcasing chapter activities and maintaining compliance with IEEE requirements.
  • Chapter Funding Management: Review and approve chapter funding requests in coordination with the VP Member Services, ensuring alignment with AESS policies and goals. Provide feedback and support to chapters submitting funding applications to enhance the quality and impact of their proposals.
  • Support for New Chapters: Send welcome letters to newly established chapters, offering initial guidance and resources. Assist new chapters in navigating AESS processes and connecting with the broader AESS community.
  • Maintain Chapter Roster: Maintain an up-to-date roster of active Chapter Chairs and Student Branch Chapter Chairs. Collaborate with IEEE Sections to ensure the accuracy of the roster and identify any vacant or outdated positions. Monitor chapter leadership to ensure compliance with IEEE term limits, which allow for a maximum of six years of service in a given role.
  • Provide reports to the VP Member Services for the Spring and Fall (BoG meetings).
  • Actively participate in the Member Services Committee.

1-2 Chapter Summits (regional meetings) per year
